Archiva Group increases the speed and scalability of its document processing platform with Omnys and AWS


In a world where the amount of data and documents continues to grow exponentially, effective management of business information has become a priority for every sector. For this reason, Archiva Group, a company that offers this type of service in over 40 countries worldwide, turned to Omnys to improve its platform and optimize its document management services. Another project that has become an AWS success case study.

Archiva Group provides a cloud-based document management platform that helps companies organize, store, and retrieve digital documents securely. Document management services optimize workflows, improve productivity, and ensure compliance with local and international data protection regulations. The group has branches in Germany and Poland; offering services to over 1,000 customers and managing 900 different types of documents.

Challenge
Since 2018, the client has experienced an annual growth rate of 10%, thanks to the increasing importance of electronic document workflows for businesses; this has increased the demand for near real-time access to information. The company also saw significant growth in its domestic market after electronic invoicing became mandatory. All of this led Archiva Group to consider developing a more resilient IT infrastructure, driven by the ongoing growth of market demands, with the goal of improving scalability and document processing capabilities.

The solution and AWS services used
To achieve these goals, the company turned to Omnys, which designed and implemented a cloud-native platform on AWS for document management, document archiving, electronic invoicing, and business process management. With this serverless solution, the client can control costs and have a scalable platform to support the ongoing document processing needs of its clients, managing up to 700 million pages annually.

archiva-group-omnys-awsOmnys managed the migration of the platform to AWS cloud and utilized several AWS services, including:
- Amazon Elastic Container Service (Amazon ECS) to run highly secure, reliable, and scalable containers;
- Amazon OpenSearch Service to securely unlock real-time search, monitoring, and analysis of business and operational data;
- Amazon Simple Queue Service (Amazon SQS), which provides a fully managed messaging system for microservices, distributed systems, and serverless applications;
- Amazon DynamoDB was employed for configuration storage. It is a serverless, NoSQL database with single-digit millisecond performance at any scale, offering scalability and flexibility around its data models. The system was designed to efficiently handle growing data volumes.

Another important aspect for Archiva’s clients was the ability to store documents for long periods, often beyond the required legal retention period, thus needing unlimited storage. To achieve this in a cost-effective manner, Omnys used Amazon Simple Storage Service (Amazon S3), a storage solution designed to retrieve data from anywhere.

Additionally, using Amazon CloudWatch, Archiva can now observe and monitor resources and applications on AWS, on-premises, and on other cloud platforms; while with AWS CloudTrail, it can track user activity and API usage across AWS and hybrid or multicloud environments.
